Non-Presenting Sponsor/Service Provider Registration

Registration Fees:  Registration fee for Service Providers is $3000 for one (1) attendee, $4000 for two (2) attendees. Registration fees for Non-Presenting Sponsors are based upon sponsorship selected.

Sponsors and service providers are responsible for their travel and room fees.

 

Sponsor Invoice: Payment is due as stated on Invoice. Registration will not be considered complete until the Registration Form is submitted and payment received.

Room Reservations: Group room rates are $269.00 + taxes/fees and will hold for 3 days before and after the conference and are subject to availability. Room rate deadline is Monday, June 2, 2025

Check-in is after 4:00PM; check-out is before 11:00AM. If checking in prior to 4:00PM, hotel will hold luggage until room is available.

 

NOTE: Official Conference Events run from Monday Evening (6p) to Wednesday Afternoon (1:30p) and Optional Conference Events (Golf and Sponsor Dine-Arounds) begin at approximately 1:30p. We encourage you to reserve rooms through Thursday morning to ensure you can attend all events if you plan to do dine-arounds or golf. Basic agenda is located at the bottom of this page for planning purposes. Please note times are subject to change, but all times listed will be in the ballpark.

 

Lodging Agreement: In order to gain the best pricing for the venue/food/room rates, Buttonwood has to guarantee a certain number of room reservations. Our sponsors are included in that number in order to guarantee room availability for your attendees. As part of this guarantee, sponsor attendees are required to stay at the Hilton La Jolla-Torrey Pines. If sponsor attendees elect to stay off-site or use another method of discounted reservation outside of the provided group link (points, etc), the room costs incurred by BW may be added to the cost of your sponsorship. *Exceptions will be made for sponsor attendees that live locally in the San Diego/La Jolla area.*

 

Transportation: Transportation to & from the Conference is responsibility of Attendees. The resort is ~25 minutes from the San Diego International Airport, with Uber and taxi availability. For those driving, parking rates are discounted at $35 for self-parking and $52 for valet.

 

Meals: All meals are complimentary with the exception of the Sponsor hosted Dine-Arounds on Wednesday evening.

 

Attire: Conference functions are Smart Casual. Activities will be outdoors, dress for comfort and varying coastal weather (cool mornings, warm days, cool evenings).

Protocol for Non-Presenting Sponsors/Service Providers During Presentation Sessions: Our Presenting Sponsors/Managers will present in 2 formats. Following the general session-style quick pitch, the BD/RIA/FO attendees will be divided into 5 smaller groups of approximately 10 that will spend 15 minutes with each Presenting Sponsor in a rotation for further discussion opportunities and Q&A’s. Non-Presenting Sponsors and Service Providers are welcome to stay in the meeting space during the small group presentations. We ask for courtesy for the Presenting Sponsors, so please don’t engage with the BD/RIA attendees during this time to allow them to participate in the small group discussions.

 

Logo and Ad Specs: Please email company logo to Alyna for inclusion on conference website and conference printed materials after completing the Registration form.

Swag and Informational Materials: Non-Presenting Sponsors/Service Providers will have a 6ft table to display materials and swag in the main conference room. Keep it simple! We don't do Booths or Exhibit Halls!  Enjoy having a conference free from booth set up and tear down! We will do our best to place tables in key locations around the room to give you the best location for engagement with the attendees during breaks. We do NOT have specified exhibit time; however you will be in the main room with all attendees for all conference room events and breaks. You will also be included in all conference social events. Don't plan on being at your table during the conference - take advantage of the social events, meals, and breaks to have quality conversations with the attendees.

 

Table set up will be available Monday, June 23, 2025 prior to our welcome reception/dinner. If shipping anything to the hotel, please contact Alyna for shipping label information and hotel drayage fees.

 

Private Events: We ask that Sponsors/Service Providers refrain from inviting BD/RIA/FOs to private events during Conference Events and Presentations.  We would like to ensure equal access to all attending Sponsors and BD/RIA/FO attendees and have provided ample time for networking and discussions. Sponsor hosted Dine-Arounds are scheduled for Wednesday, June 25, 2025 and are the only approved private events.

    • Discounted rates are good for 3 days prior and post event!
